Commercial Operations Coordinator

We are looking for a Commercial Operations Coordinator for our Bulk Cargo Operations team in Singapore
In this role, you will be joining a committed, dynamic and high performing regional operations team. In your role, you are expected to manage the day-to-day proactive planning, execution and optimization of commercial contracts performance. You will be applying your operations execution skills and our operational processes to execute, administer and direct bulk cargo traffic of marine tanker vessels and barges from cargo contract and ship’s charter-parties conclusion to the fulfilling of cargo and charter-party contractual terms and obligations.
You will work with our external stakeholders namely Suppliers and Customers, cargo inspectors, marine shipowners/agents, customs agents, storage terminals and other service providers. Your main internal stakeholders are sales and supply managers, refinery production planners, supply chain/sales planners, ship chartering, finance, laboratory and relevant departments for effective operations execution. The role will require you to combine commercial understanding with execution excellence, cooperative collaboration and a drive to develop and renew for improvements and efficiencies. Together we ensure a high level customer and supplier experience.

Main responsibilities in this role

Day-to-day effective and efficient management of individual cargo shipment and vessel shipping operations ensuring excellent execution and optimization

Manage supply and delivery/loading schedules with internal and external counterparties, ensuring timely and accurate nomination of ship/cargo date ranges to meet delivery objectives, while seeking optimisation and ensuring compliance.

Nominate inspection companies (e.g. independent inspectors) for cargo quality and quantity controls and ensure consistency of the results obtained.

Manage storage locations, including stock reconciliations.

Ensure timely and accurate data entries for all contracts/transactions

Support the team in operational challenges, growing the team’s commercial and operational awareness

Interface daily with internal teams including operations, commercial supply & sales managers, charterers, shipping support, invoicing, claims, demurrage, legal and others as necessary, fostering strong working relationships across departments.

Be available to manage critical issues outside regular office hours. This role may require attention during evenings or weekends from time to time.

Drive accurate and professional work performance in the team to minimize deviations to the operational processes that results in additional costs

Initiate and/or participate in operations process work improvements & automation productivity projects/initiatives.

Strong academic credentials with a numeracy-oriented specialisation. Bachelor’s or Master’s degree in a relevant area, e.g. from business or technology / or significant post qualification experience. Those without the said education qualification but with extensive operations experience in relevant industry are also invited to apply

Significant (>10 years) knowledge & experience in international commodity business of bulk liquid oil products, agricultural vegetable oils, fats and/or renewable fuels cargo operational logistics management, marine tanker transportation, inventory control and cargo quality assurance.

Good knowledge of marine vessel operations, including cargoes loading/discharge, time charters, voyage charters and ships’ operations.

Experience and knowledge of bulk liquids cargo operations workflow (cargo documentation, Bills of lading, Letter of Credits, basic demurrage calculations, customs duties, cargo insurance) and marine transportation (Vessel clearance, voyage orders, ship-to-ship operations) ensuring cargo quantity and quality assurance control (inspections, storage management).

Comprehensive ERP (eg SAP, Allegro) system knowledge

Ability to understand the big picture of business models and processes & apply this knowledge to operational optimisation.

Inquisitive/analytical mindset to constructively challenge work processes towards higher productivity/efficiency. Strategic thinking and practical problem-solving skills. Experience in leading & developing improvement projects and teams.

Good and proactive communication and collaborative relationship building skills. Fluency in written and oral English, preferably also local language skills

Accuracy and attention to details orientated; Performance and result driven.

Strong team player, capable of working with minimal supervision and leading activities when required.
